Terms of Service

1. Agreement

These terms govern your use of WorkPilot ("the Service"), a platform for scheduling jobs, sending estimates and invoices, tracking expenses and time, and managing a team. By creating an account you agree to these terms. If you are accepting on behalf of a business, you confirm you are authorized to bind that business.

2. Accounts

• You must provide accurate information and keep your login credentials secure.
• You are responsible for all activity under your account, including your team members.
• Employees and other team members you invite use the Service under the business owner's account and do not pay separately.
• You must be at least 18 years old to create a business workspace.

3. Subscriptions and billing

• Paid plans are billed to the business owner monthly or yearly in advance, based on the number of seats in the workspace (the owner counts as a seat).
• New subscriptions may include a free trial. A payment method is collected up front and the first charge is made automatically when the trial ends unless you cancel before then.
• Prices are shown in US dollars. Applicable sales tax, VAT or GST is calculated and added at checkout.
• Subscriptions renew automatically at the end of each billing period until cancelled.
• If you add team members beyond your plan's seat limit, your plan or seat add-ons may be adjusted upward and charged accordingly. You will be notified when this happens.

4. Cancellation and refunds

• You may cancel at any time from the Billing page or the customer portal.
• Cancellation takes effect at the end of the period you have already paid for. You keep full access until that date.
• We do not provide partial or pro-rated refunds for unused time in a billing period.
• If a payment fails, your workspace becomes read-only: you keep access to your data but cannot create or edit records until billing is brought current.
• If you believe you were charged in error, email support@workpilot-buis.com and we will review it.

5. Your data

You own the business data you put into WorkPilot — clients, jobs, invoices, expenses and files. We process it only to provide the Service. You can export your data at any time, and you may request deletion of your workspace. See our Privacy Policy for details.

6. Acceptable use

• Do not use the Service to send unlawful, deceptive or unsolicited bulk messages.
• Do not attempt to access other businesses' data, probe our systems, or interfere with the Service.
• Do not upload malware or content you do not have the right to use.
• You are responsible for the accuracy and legality of the invoices, estimates and tax figures you send to your customers.

7. Payments to you

When you collect money from your own customers through payment links, that transaction is between you, your customer and your payment provider. WorkPilot is not a party to it and is not responsible for chargebacks, disputes or settlement timing on those payments.

8. Availability and changes

We work to keep the Service available but do not guarantee uninterrupted operation. We may add, change or remove features. If we make a material change to these terms or to pricing, we will notify account owners by email or in the app before it takes effect.

9. Suspension and termination

We may suspend or terminate an account that violates these terms, is used unlawfully, or has unpaid charges. You may stop using the Service at any time. On termination we will make your data available for export for a reasonable period before deleting it.

10. Disclaimers and liability

The Service is provided "as is" without warranties of any kind. WorkPilot is a business tool, not accounting, tax or legal advice. To the maximum extent permitted by law, our total liability for any claim relating to the Service is limited to the amount you paid us in the twelve months before the claim, and we are not liable for indirect, incidental or consequential damages, including lost profits or lost data.
